Smart Fox Tuition

Smart Fox Tuition is committed to protecting and respecting your privacy, as well as the privacy of your child. This Privacy Policy explains how I collect, use, store, and protect your personal data in strict compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

For the purposes of data protection laws, the Data Controller is the founder of Smart Fox Tuition.

1. Information I Collect

When you enquire about or enrol your child in tutoring, I may collect and process the following personal information:

  • Parent/Guardian Details: Name, email address, phone number, and billing/address details.

  • Student Details: Name, age, current school year group, academic needs, and target schools (e.g., specific grammar or independent schools).

  • Academic Records: Homework submissions, progress assessments, and lesson feedback notes.

2. How I Use Your Information

I will only use your personal data when the law allows me to. Most commonly, I use your information to:

  • Fulfil our contract to provide tailored educational tuition services to your child.

  • Respond to contact form enquiries and arrange initial consultations (Zoom or phone calls).

  • Manage billing, invoices, and advance monthly payments.

  • Provide written progress updates after each lesson.

  • Ensure a safe online learning environment in line with my Safeguarding Policy.

3. Data Storage and Security

The security of your family's data is of paramount importance.

  • Digital Folders: Student resources and records are stored securely on password-protected cloud storage, accessible only by the tutor, the student, and their parents.

  • Access Control: All devices used to deliver lessons and access records are securely locked when not in use, requiring a personal passcode, PIN, or biometric security (such as fingerprint or facial recognition) to open.

  • Data Retention: I will only retain personal data for as long as necessary to fulfil the purposes for which it was collected, including satisfying any legal, accounting, or tax reporting requirements (typically up to 7 years for business financial records).

4. Third-Party Services

I do not sell, rent, or trade your personal data with third parties. To deliver my services, I safely use trusted third-party providers who are also strictly compliant with UK data protection standards:

  • Zoom: To host secure, password-protected online video lessons.

  • Squarespace: To host this website and securely capture initial contact form submissions.

  • Online Banking/Invoicing Software: To process monthly advance payments securely.

5. Your Legal Rights

Under UK GDPR, you hold specific rights regarding your personal information. You have the right to:

  • Request access to the personal data I hold about you or your child.

  • Request the correction of any inaccurate or incomplete data.

  • Request the erasure of your personal data (the "right to be forgotten"), subject to any overarching legal or financial retention obligations.

  • Withdraw your consent to data processing at any time.

To exercise any of these rights, please contact me directly via email.

6. Contact and Complaints

If you have any questions about this Privacy Policy or how your data is handled, please get in touch. If you believe your data has not been handled correctly, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues.

This policy is updated regularly to ensure ongoing compliance with UK data protection laws.
